VaultCRM is a marketer CRM solution that has been intentionally structured so marketers of any type and size can easily migrate to an internally owned and controlled CRM solution, rather than exposing their secret sauces, and spending excessive money on leased or rented CRM solutions.

To many marketers store their campaign details, their billing and re-billing rules, their customer data, their products, their customer communications, their marketing messages, their auto-responders on an external or leased CRM system.

Features

VaultCRM has all the same features as the premier leasable CRM solutions, like LimeLight, Konnektive, ResponseCRM, and much more, but without the exposure and monthly recurring cost.

Today most leased and rented CRM systems act more like Payment Processing Gateways and want to get paid per approved and declined transaction, in addition to the monthly leasing fees.  This structure adds a cost element, in most cases, marketers are not paying transaction fees to the processor, the gateway, and the CRM system.  This is simply wrong.

More disturbingly, once a leased CRM instance is no longer used or being paid for, there is no telling what happens to your data or who may gain access to your hard work.

There are tons of reasons to get your own CRM asap, especially now that we have made it affordable.

Campaign Management

The campaign management features contain all the « must haves », but also includes several logical process automation features specifically designed to make the running and managing of campaigns and billing processes much simpler and more effective.

A campaign can contain any number of products, which can be configured as a primary product or upsell products.  The products can be physical in nature, digital in nature, or membership-based. 

Each product can be configured to trigger internal or external events, such as shipping by a 3rd party or internal fulfillment house,  create log-in credentials for digital content.

Billing Flexibility

The automated billing configuration flexibility has intentionally been designed to allow marketers to get creative, work around the hurdles of payment processing, and reclaim as many declined transactions as possible.

Campaigns can be set for one-time charges, trial periods with recurring billing, recurring billing, and flexible recurring billing.  Recurring billing events can be set on fixed intervals or a varying billing period and billed amount for each desired billing cycle,

Each billing cycle, as well as each product can be set to be charged to a specific merchant, that can be forced to remain the same for the entire customer life cycle or vary on each billing cycle.

In other words, whatever the terms of your campaign are, your VaultCRM simply makes it happen.

Customer Service

Customer Service is considered the core functionality of any CRM system, which is why we elected to build VaultCRM on the foundation of the most broadly used open-source CRM system on the market.

This design decision ensures that all customer interactions are not only tracked in a single system, but that all communications can be initiated in real-time, the customer service team(s), send, receive, and view inbound and outbound messages, for calls, emails, and sms messages.

Notes can of course be added, and customers’ cases can be escalated to managers, who are notified.  Automated messaging in the forms of email and SMS-Messages can be configured to automatically trigger based on any system event, cases can be opened, closed, or assigned automatically based on any system event.   The configuration options are simply limitless and will make the marketers’ daily operations that much easier.

Customer Service access can of course be as open or as restrictive as the system administrator decides and can be defined down to the micro levels of customers and even transactions.

Reporting

Reporting is another specialty of VaultCRM.  Although bundles of standard reports and summary reports come pre-configured, Showing planned billing events based on campaign, product, merchant account pool, merchant gateway, and merchant account, as well as billing results, based on approvals and decline responses, for all the same sub-categories of campaign, product, merchant account pool, merchant gateway, and merchant account.  Affiliate Performance Reports, Fulfillment Reports, and initial sales performance reports.

The reporting module allows the configuration of virtually any data element(s) with any constraints and filters needed, for you to better understand your data, and trigger automated events based on system and transaction activities.

The reporting is limitless and easy with VaultCRM.  There is no need to wait days or weeks to get a custom report on the data you want to see, just because a leased system operator has not yet created it.

Merchant Account Integration

To start with, although you can elect to have your VaultCRM instance PCI certified, it is not needed.   VaultCRM is set up to be an umbrella CRM that can integrate with any merchant account to a gateway that can store your customers’ data in a PCI-compliant fashion. 

In summary, although your customers’ payment data is captured in VaultCRM, it is pushed to the gateways where your merchant accounts are integrated, stored in one or many gateway instances, and linked to VaultCRM as a payment token.  VaultCRM triggers recurring billing events with the token from the integrated gateway when needed.

This means that a customer in VaultCRM will have multiple payment records, one for each gateway instance needed for the routing needed to execute a defined campaign.

Most importantly, should the question of PCI compliance ever be raised, you can simply defer the compliance question to the gateways and not worry about any exposure.

Affiliate Management

Detailed affiliate tracking is enabled when sales transactions are sent to the your VaultCRM instance via any of the sale API calls made available, as well as can be captured from the gateway instance if the initial sale is pushed to a Gateway.

Affiliate reporting can be configured and customized in our reporting module, and affiliate system login credentials can be issued to each affiliate to see any data the system administrator defines.

Reporting can be as detailed as desired, based on the values passed at the time of a sale, products, categories, and more.  Reports are updated as transactions are captured and included instantly.

Affiliate Reporting login can be limited to just reporting on the affiliates’ data but can be extended to give full customer and transaction, re-billing, visibility. The access and reporting are completely configurable directly in the CRM user interface.

Order Automation – Loyalty Motor

the Order Automaton features allow you to establish logic and criteria, which, when met trigger the creation of orders and transactions for your customers who meet the defined rules.

This logic can be used to add customers to one or more billing campaigns, based on the amount and merchant account used or a transaction not initiated by your Vault Instance.

For example, if a transaction for Y amount is routed directly to a monitored merchant account, then your VaultCRM can create orders for all up-sell products on whatever billing frequency configured on the selected campaigns.

This feature can also be used to migrate the recurring billing for customers residing in a different CRM system.

Declined Charge Reprocessing

Maximizing your revenue thru strategic and logically configured re-processing of declined transactions, can be configured to be as complex or as simple as you decide.

A declined transaction retry tree can be structured based on the decline specific decline response messages from your processor. Each decline response can be for each individual merchant account can be retried on the same merchant account, or be directed to a different merchant account or pool, so the highest possible approval ratio can be achieved, without the excessive manual effort.

The re-processing flows can be as simple as waiting x number of days and trying again, to wait x number of days, drop the prices by Z percent or Y amount, and run the reclaim on the same or a different merchant account.

To avoid excessive declines or incur undue merchant processing fees, the number of processing re-tries can be limited, if so desired.

Charge Capacity Balancing

Managing multiple merchant accounts has unfortunately become a way of life and is no longer the exception to the rule.

Your own VaultCRM instance enables you to manage your customer’s payment records locally as well as in one or many integrated vaults

This allows you to establish logical and strategic transaction routing logic for both new sales and recurring billing events.

Routing logic can be configured as complex as you desire and can involve routing transactions to different merchant accounts for each charge, varying the charge amounts and billing frequency.

You can simply configure your billing complexity to match the simplicity or complexity that you have deemed to be the right strategy and terms for your business.

Stop Billing Rules

To avoid unnecessary processing fees or getting flagged by merchant processors, VaultCRM also allows configuring “stop billing” events.

Stop Billing events are triggered automatically based on defined rules, like decline reason, decline count, etc. 

As with any event in VaultCRM automation processes can be associated to create cases, actions, and notifications to the appropriate users of the solution.

Logical rules can be defined that not only stop the automated future billing events but will also contact the impacted customer to update their payment method, send action notes, make reminder phone calls, etc.

Integrations

Since this is your CRM system, you can get it integrated with any partner, client, or vendor on the fly, as long as the appropriate Application Program Interface (API) is available or integrations exit with integration automation services such as Zapier.

Once an integration has been implemented, it can be triggered based on system events, triggers, and workflows that optimize your daily activities.

The setup and configuration flexibility have no limits and if a custom integration is needed, it can quickly be developed, tested, and deployed.

There is a library of tested and validated integrations to fulfillment houses, content providers, membership clubs, health networks, pharmacies, gateways, and payment processors, that can be deployed without effort.

Communications

Communication is a critical component of any CRM solution and your VaultCRM takes care of it all easily and conveniently.

Communication channels like email, SMS-Messages, Whatsapp Messages, Chat Bot, AI, and Telephone are plug-and-play ready.  All communications channels are bi-directional and allow for both inbound and outbound interaction.

Each communications event, independent of the channel is automatically logged and associated with the customer record, so the full history is visible, can be analyzed, and reported on.

In addition, customer notes can be added by customer service or added via a simple API call.  Documents, offers, invoices, receipts, and any other digital content format, can be added to communications and the customer records as well.

Work Flow Automation

Work Flow Automation allows you to establish tasks, task sequences, communications, interactions, and much more to be configured to be completed based on event triggers.

Emails and SMS Messages can be sent to customers based on events like a decline, a cancellation, and new order, a shipment, a complaint, or any other event.

Our workflow module configuration options are virtually limitless and are designed to make your life easier while ensuring that tasks get completed automatically.

Prices and Operating Cost

Since the core system is built on the foundation of Suite CRM, the most broadly deployed open-source CRM in the market, your VaultCRM is also completely free of charge.

However, as with any technology, there is a cost associated with the hosting, installation, customization, and maintenance of your system.

Hosting

Since your VaultCRM instance contains modules and code that is proprietary, we require that hosting is purchased from Swiss Domain Vault, our global hosting partner and that we administer the server on your behalf.

We recommend that your CRM is hosted on a Swiss-Based server, where the best possible data privacy laws are in effect, but it can be hosted in any of our partners’ international data centers.  Since our CRM instance needs to be fast and effective, we have configured 3 hosting options for each geographic location and anticipated volumes.

Installation
and Configuration

We charge a one-time installation and configuration fee of CHF 8,500 and require 3 calendar weeks to complete the effort and comprehensive testing of your dedicated server and instance.

The installation effort includes the installation and configuration of your CRM instance on your dedicated server, proprietary modules are installed and tested, communication channels are configured and tested and user accounts are established for your staff.

The one-time installation and configuration fee is paid in 2 installments.  Half upfront and half upon completion.

System Maintenance

Ensuring that your CRM instance and all of its features are running smoothly and efficiently is critical to your business, as such we take care of this mission-critical work for just a small monthly charge.

This service includes monitoring the system and ensuring that everything is working as it should.  In addition, your entire system is backed up daily and stored in a separate secure instance.

Customizations

Since customizations only impact your instance of the CRM, there are virtually no limitations on what customizations can be deployed and implemented.  If you can define it, it can be added to the system, quickly and effectively.

Once the scope of customization has been defined, the cost for the effort will be proposed.  As a guideline, most customization projects cost between CHF 500 and CHF 5,000.

We have found that most customization requests fall in the «reporting» category, which 1) can easily be self-configured, since your VaultCRM has an extensive custom reporting portal, and 2) can quickly be made available, should you not wish to become a reporting module expert.

We understand that not all marketers want to become technology experts or digging thru the daily operating routines and ensure everything that operationally should have happened actually did happen, the monitoring of approval ratios, traffic tracking, conversion tracking, and building of landing pages and funnels.  Sometimes, it’s best to focus on core talents, like marketing messages and the generation of sales.

If desired, clients may utilize our Staff and Resources as their System / Campaign manager. If selected, our expert staff will take on that role for an affordable price.

In this role, our staff will configure products, campaigns, merchant accounts, communications, workflows, system rules, and reporting based on your requirements, monitor your campaigns, billings, sales, declined charges, and deliver alerts and reports to you daily.

We understand that limiting fixed operating costs is imperative to any business, as such we provide these services for a charge of CHF 0.10 per Approved Transaction, with a minimum of 7,500 monthly transactions.

Frequently Asked Questions

Is this truly my CRM?

Yes, your VaultCRM is your business’ very own CRM instance, that is installed on a Server dedicated to you and only you have access to all of its content.

Unlike leased CRM solutions, your data and content are stored in a completely private environment that is not shared or accessible by 3rd parties of any kind.

However, the code does not belong to you and you are not able to sell the CRM without licensing our proprietary modules.

Can I sell the CRM System with my Business?

Unfortunately not, the CRM includes several modules that are proprietary and can not be sold without a licensing agreement from us.

Has the system been stress tested?

Yes, VaultCRM has been in production for well over 6 years now and is being used by both large, small, and highly specialized businesses.

In some instances the daily transaction volumes exceed 200,000 and a multifold of that in communications messaging across all communications channels.

Why should I get my own CRM?

There are 3 reasons that our clients have elected to run their own CRM instead of using a leased solution.

How do the cost compare to a leased CRM?

The initial cost is a little higher when electing to get your own CRM, but in the long term the cost is substantially less.

Most leased CRM solutions offer very affordable starter plans around $500 per month, but the fees quickly increase to over $2,o00, $5,000, even to over $20,000 a month once transaction volume,

In fact, most leased CRM’s not charge a subscription fee PLUS transaction fees for each approved and declined transaction.

Can I blacklist customers?

Yes, you can blacklist card numbers, email addresses, IP addresses, phone numbers, mailing and mailing addresses to block them from being able to make purchases from you.

Can I track chargebacks?

Yes, we can integrate with your merchant processor or import your chargebacks so your ratio reporting is up to date.

Can I track chargeback alerts?

Yes, we can integrate with any chargeback prevention service, so flag customers who triggered and alert and allow you to take appropriate resolution action.

Are all merchant processors supported?

Yes,  all processors who allow connection through 3rd party gateways like NMI are supported in a direct relationship.  Should you your processor required certified integration, we can either write the integration for your, or you simply add them thru a system that is already certified as a gateway.

What reports are available?

Anything you want.  Our reporting module lets you create reports on the fly and can create a most used library of reports that are meaningful to your business.

Is declined transaction salvage supported?

Yes, you can establish rules based on decline response messages by merchant account and build automated re-try logic based on our merchant accounts.

Can I run a Trial Campaign?

Yes, you can setup a campaign to offer either a free or a trial fee for a set period of time, before regular billing intervals and amounts are initiated.

Is pre-auth functionallity available?

Yes, on any campaign and billing event, you can decide if you want to process a sale or a pre-authorization.  The pre-authorization period can also set to a specific amount of time passes before the authorization is settled.

Can I sent SMS or Text Message to my customers?

Yes, SMS is a standard communication channel and messages can be triggered both by customer service, AI, or automated work flows.
